BrandPod ("BrandPod," "we," "us") provides a white-label coaching platform that fitness coaches use to run their coaching businesses. This policy explains what information we collect, how we use it, and the choices you have.

BrandPod serves two kinds of users: coaches, who subscribe to BrandPod to run their coaching business, and clients, who use a coach's branded app to train with that coach. If you are a client, your coaching relationship is with your coach; BrandPod provides the technology your coach uses to deliver their services.

Information we collect

Account information. Name, email address, password (stored only as a cryptographic hash; we cannot see your password), and, if you provide them, phone number, date of birth, profile photo, and time zone.

Health and fitness information. If you are a client, the platform collects information you or your coach enter to deliver coaching services: weight, height, biological sex, training goals, workout logs, readiness and check-in responses, nutrition logs, and food photos you choose to upload. This information is visible to you and to your coach.

Coach business information. If you are a coach: your business name, branding assets (logo, colors, photos), landing page content, pricing, and client roster.

Usage and technical information. Log data such as IP address, browser type, pages visited, and timestamps, used for security, debugging, and improving the service.

Lead information. If you request a demo of BrandPod, we collect the information you submit (name, email, Instagram handle, business details).

How we use information

• To provide the service: delivering training programs, nutrition tracking, messaging between coach and client, and progress analytics.
• To power AI features: food photos and descriptions are analyzed to estimate nutrition information; training and check-in data may be summarized to assist your coach. AI processing is performed by our AI provider (see subprocessors) and is not used by that provider to train its models under our agreement with them.
• To communicate with you: account emails (confirmations, password resets, invitations) and, for coaches, service updates.
• To secure and improve the platform.

We do not sell personal information. We do not use client health data for advertising.

Who can see your information

• Your coach (if you are a client): sees the information you enter into their coaching app, because that is what the service is for.
• BrandPod: limited personnel access for support, security, and operations.
• Subprocessors that host and operate the service on our behalf:
  • Supabase (database, authentication, file storage)
  • Vercel (application hosting)
  • Anthropic (AI processing of nutrition and coaching data)
  • Resend (email delivery)
  • Stripe (payment processing, where applicable)

We share information with these providers only as needed to operate the service, under contracts that restrict their use of it.

We may disclose information if required by law, or to protect the rights, safety, or property of BrandPod, our users, or others.

Data retention and deletion

We retain your information while your account (or your coach's account) is active. You may request deletion of your account and associated personal data at any time by emailing info@brandpod.app or asking your coach to remove you. We will delete or anonymize your personal data within 30 days of a verified request, except where retention is required by law.

Coaches who cancel their BrandPod subscription may request an export of their business and client data before deletion. Your data is always yours.

Security

We protect your information with industry-standard measures, including encryption in transit, hashed password storage, row-level access controls in our database, and daily backups. No system is perfectly secure; if we become aware of a breach affecting your personal data, we will notify affected users as required by law.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. To exercise any of these rights, email info@brandpod.app. We will respond within the timeframe required by applicable law. We do not discriminate against users for exercising privacy rights.

Children

BrandPod is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child under 16 has provided us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will post the updated version here with a revised date, and for material changes we will provide additional notice (such as email to coaches).
